About the Role

We are seeking an Admin Operations Specialist to support and optimize our operational processes across billing, workforce management, and team coordination. This role requires a detail-oriented professional with strong organizational, communication, and problem-solving skills. The ideal candidate will be responsible for ensuring accuracy in financial processes, supporting onboarding and offboarding through workforce platforms, and serving as a key liaison across geographically distributed teams.


Job Responsibilities

  • Process and manage billing operations with accuracy and attention to detail.

  • Demonstrate strong understanding of financial processes and procedures.

  • Handle TDx billing systems and related administrative tasks.

  • Ensure compliance with financial protocols and deadlines.

  • Manage team member onboarding and offboarding processes through the Fieldglass platform.

  • Coordinate with multiple geographical prime contractors and stakeholders.

  • Facilitate smooth transitions for new hires and departing employees.

  • Maintain accurate records of team changes and status updates.

  • Process credential requests and manage access permissions.

  • Handle asset requests and equipment allocation.

  • Provide proactive follow-up on pending items across different teams.

  • Serve as liaison between various teams and departments.

  • Proactively identify and resolve operational bottlenecks.

  • Ensure timely completion of cross-functional initiatives.


Technical Skills

  • Advanced proficiency in Microsoft Excel and data management.

  • Experience with Fieldglass platform for workforce management.

  • Knowledge of TDx billing systems and processes.

  • Exceptional organizational and time management abilities.

  • Proven track record of meeting strict deadlines.

  • Strong analytical and problem-solving capabilities.

  • Ability to work independently and manage multiple priorities.

  • Excellent written and verbal communication skills.

  • Good communication skills in English (B1 or above).

  • Proactive approach to follow-ups and task completion.

  • Experience working with geographically distributed teams.

  • Strong attention to detail and accuracy in all work products.

  • Background in vendor management or contractor coordination (preferred).
