Candidate Consent Form
Thank you for your interest in applying for a role with TELUS International (U.S.) Corp (“TELUS International”) or one of our group companies. Before you submit your application, please read this notice and consent form, which explains why we need the information included in your application and what we will do with it. If you agree to proceed, please click the submit button below, which provides your consent to our processing your personal data in line with this notice.
What information do we ask you to provide?
The personal information we seek in the application form is used to help us assess your suitability for the role(s) for which you are applying and to manage the recruitment process. The information includes:
- Your name, and contact information – which we need to contact you in relation to your application
- Details of your qualifications – which help us assess whether you have qualifications relevant to the role for which you are applying
- Details of your previous work experience – which give us an idea of your relevant experience
- Details of your language skills
- Whether you have the right to work lawfully in the country where the position is situated – as this is a legal requirement any employer must satisfy
What happens to your application form and supporting data once you submit it?
The application form and the personal information you have included will initially be held on a CRM database that is stored on a secure cloud server system operated by a third party vendor, currently Avature. The application will then be assessed by the hiring team supported by automated tools that help us give you an answer sooner on how the position’s requirements match your skills. Certain personal data of applicants considered potentially suitable, will be transferred to a secure assessment platform operated by Aspiring Minds, (the rest remaining on the original CRM database for the time being) and those candidates will be invited to participate in a series of on-line tests to assess relevant skills. The results of those tests using an automated system will be sent to the hiring team and successful applicants will be sent a job offer. The personal data of applicants who accept a job offer will be transferred to our secure, cloud-based Workday database.
Transfer of Data outside the United States
Each of the servers on which your personal data is stored is located in the United States. However Talent Acquisition (“TA”) managers, team leaders, members of TELUS International’s sourcing, recruiting, hiring, HR and legal teams who participate in or supervise the recruitment process will have access to the servers and some of company personnel are geographically widespread and are based into different regions. Therefore once you submit your application form, your personal information may be transferred outside the United States within TI’s network. Further, your information will be made available to other companies in the TELUS International group with open positions for which you have applied. We not only seek your consent to this transfer, but we also confirm that we take measures that are designed to protect your personal data, such as performing due diligence on our vendors that will process personal data.
Your rights in relation to your information
TELUS International may conduct a background verification during the employment application process. In the United States, where permitted by applicable law, which may vary from state to state, when you seek employment, such background verification may include, among other items, a criminal history report, a credit report, or both. If TELUS International seeks to obtain your criminal history or credit report, TELUS International will provide you advance notice and seek your consent, as required by applicable law. TELUS International will use such information consistent with applicable state and federal law, including the Fair Credit Reporting Act.
You may access, correct, erase or restrict our processing of the personal data you have submitted to us. In addition, you have the right to contact the data protection authority in your country if you consider that TELUS has infringed your privacy rights. Please note that it is TELUS International’s policy to only address requests coming directly from data subjects, once they have been authenticated appropriately, in order to protect their privacy.
Data Retention
The personal data of all candidates will remain in the system through the remainder of the current year and the following year in the original CRM and Aspiring Minds assessment platform and stored on our Workday databases as described above. To the extent it is relevant to the candidate’s employment, the data will be stored and processed for the purposes of their future employment with TELUS International. The personal data of unsuccessful candidates will be retained for a period of up to one year from the application date and thereafter, unless required for TELUS International’s legitimate purposes (for example in the case of litigation with the candidate), or by law, the data will be deleted.
Special Notice to California Applicants
This notice describes our collection and use of certain personal information about external job applicants who are California residents (“California Applicants”), as required under the California Consumer Privacy Act (the “CCPA”). In this notice, “personal information” is any information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular California Applicant or their household. This notice only addresses the collection and use of personal information covered by the CCPA. If applicable, you may receive notices about other information collection practices for data that is outside the scope of the CCPA (e.g., background checks).
The categories of personal information TI collects, and TI’s use of personal information, may vary based on the position for which you are applying.
Categories of Personal Information Collected
Generally, we may collect the following categories of personal information about California Applicants, to the extent permitted under applicable law.
- Name, Contact Info, and other Identifiers:Such as a real name, alias, postal address, unique personal identifier, online identifier, Internet Protocol address, email address, account name, social security number, driver’s license number, and other government identifiers.
- Protected Classifications:Such as race/ethnicity, sex, veteran status, disability, and other characteristics of protected classifications under California or federal law. Note: Generally, this information is only collected on a voluntary basis, after an offer of employment has been extended, and is used in support of our equal opportunity and diversity and inclusion efforts, as well as any reporting obligations or where otherwise required by law.
- Usage Data:Such as Internet or other electronic network activity information, including but not limited to, browsing history and information regarding a California Applicant’s interaction with an internet website, application, or advertisement.
- Audio, Video, and other Electronic Data:Audio, electronic, visual, or similar information such as CCTV footage, photographs, and call/audio recordings.
- Employment History:Professional or employment-related information.
- Education Information:Information about education history or background that is not publicly available personally identifiable information as defined in the Federal Family Educational Rights and Privacy Act.
Purposes for Collecting and Using Personal Information
Generally, we use your personal information for the following purposes.
- Recruiting, Hiring, Managing, and Evaluating Applicants.To review, assess, recruit, consider, or manage the application process, including: Scheduling and conducting interviews; working with external recruiters; reviewing and verifying your information, and to otherwise screen or evaluate your qualifications and suitability for a position; extending offers, negotiating the terms of offers, and assessing compensation matters; communicating with you about your application, about other similar positions for which you may be interested, or for future consideration; and supporting our equal opportunity policies and practices.
- Security and Monitoring.To monitor and secure our resources, network, premises, and assets, including: Monitoring for, preventing, investigating, and responding to security and privacy incidents; providing and managing access to physical and technical access controls; monitoring activities, access, and use to ensure the security and functioning of our systems and assets; and securing our offices, premises, and physical assets, including through the use of electronic access systems and video monitoring.
- Auditing, Accounting, and Corporate Governance.For purposes relating to financial, tax, and accounting audits, and audits and assessments of our business operations, security controls, financial controls, or compliance with legal obligations, and for other internal business purposes such as administration of our records retention program.
- M&A and Other Business Transactions.For purposes of planning, due diligence, and implementation of commercial transactions (e.g., mergers, acquisitions, asset sales, or transfers, bankruptcy or reorganization, or other similar business transactions).
- Compliance with Applicable Legal Obligations.To comply with applicable legal obligations (such as hiring eligibility, responding to subpoenas, and court orders) as well as assessments, reviews, and reporting relating to such legal obligations, including under employment and labor laws and regulations, social security, and tax laws, environmental regulations, workplace safety laws and regulations, and other applicable laws, regulations, opinions, and guidance.
